Mastering Efficiency with Assistant Template Manager

by | Sep 26, 2023

One thing every financial firm can use more of? Consistency.

Consistency ensures replicable processes and client experiences. When you’re dealing with wealth management at scale, it’s important to deliver the same level of attention and service across your book of clients – both for client satisfaction and compliance’s sake. Similarly, it’s crucial that each of your advisory teams are equipped with the same high level of tools and resources.

That’s where Assistant Template Manager comes into play, providing efficiency and simplicity throughout your entire organization. Let’s explore what Assistant Template Manager is, as well as how it can benefit your firm and how you can get started today.

What is the Assistant Template Manager?

With the Assistant Template Manager, your entire team can enjoy access to a suite of pre-built dictation templates to guide your note-taking for phone calls, client review meetings and common service activities.

Whether you’re finishing up a discovery meeting or taking a quick phone call, these templates ensure your advisors can quickly record all the necessary information while it is still fresh in their minds.

You also have the ability to build custom templates to meet your team’s specific needs. If you have specific questions or notes you need your advisors to keep track of with each client, a custom template is a great, simple way to implement that process across the board.

Once you’ve selected your template, you will be prompted to answer the pre-selected questions out loud into your device via the TalkIt+ mobile app. Within a matter of days, your notes will arrive in your CRM of choice, transcribed and organized with over 99% accuracy.

Increase Consistency and Efficiency with Assistant Template Manager

There are several benefits to using a consistent template process:

  1. Replicate at scale. Documented consistency across client service can help you in the event of a compliance audit.
  2. Capture all the important details. Guided templates remind you to document the important stuff.
  3. Automate and organize. With Assistant Template Manager, you can build your own dictation templates and implement them across your organization in just minutes.

Plus, you have the flexibility to alter or add templates per your unique needs, making Assistant Template Manager a one-size-fits-all solution for firms everywhere.

How to Use the Assistant Template Manager

You can create templates via the TalkIt+ app or through the online Assistant Template portal. From the record screen, navigate to the Assistant on the bottom taskbar. Then, you can manage, customize and share templates with your team.

If you’d like to use a pre-built template, simply browse the templates available and select the one that best suits your team’s needs.

To create a custom template, navigate to the Assistant section of the app or website and click “Create Template.” Note that you may need to scroll down to find this button if there are multiple templates attached to your account. You are free to edit, share or delete templates as your team’s needs shift by clicking the ellipsis (…) in the top right of an Assistant Template tile.

While using a template, your team members will need to click “Record” within the appropriate template, read the question aloud, and then clearly speak their answer. After they’ve recorded all their answers, the notes will be transcribed and available in just two to three business days.

Assistant Template is built to provide fully customizable efficiency and consistency throughout your firm. With pre-built and custom templates in your arsenal, your team is equipped for simple, accurate note-taking with each and every client.
